In short
- We collect only what we need — name, contact details, swimmer information, payment-related details — to register members, deliver programs, communicate with you, and meet our obligations to BCAS, CAS, and the law.
- We share information only with BCAS / CAS (for registration and Safe Sport), competition hosts (for athlete entry), our service providers under contract, our insurer or advisors as needed, and authorities where required by law.
- Payments run through Square — we never see or store your full card number. When you register for a program, Square securely keeps a card on file to charge the monthly training fee. Registration and Try-It details are recorded in our private Google Sheets.
- You have rights under BC PIPA — to access your information, correct it, withdraw consent, and complain to BC's Office of the Information and Privacy Commissioner if a concern isn't resolved.
- We retain information per a defined schedule — registration and financial records up to 7 years, screening records for the validity of the criminal record check plus 2 years, Safe Sport matters 10 years, and governance records permanently. Details in the full policy.
- Some providers store data outside Canada — hosting, email, and similar services run in the United States. We use contracts and reasonable safeguards. See the list of service providers below.

- Access. You may request a copy of the personal information we hold about you. We respond within 30 business days, as required by PIPA.
- Correction. If your information is inaccurate or incomplete, ask us to correct it. If we don't make the correction, we'll annotate the record with your request.
- Withdraw consent. You may withdraw consent at any time on reasonable notice — knowing it may affect your ability to continue in a program.
- Complain. If you have a concern about how we handle your personal information, contact our Privacy Officer first. If it isn't resolved, you may contact the BC Office of the Information and Privacy Commissioner.
